Privacy Policy

This Privacy Policy explains how Mint Chill LLC ("MintChill", "we", "us") collects, uses, and shares information when you visit mintchillcigars.com or purchase from us. We sell age-restricted tobacco products, so some of the data practices described here exist because the law requires them.

Information We Collect

• Account information. If you create an account, sign-in is handled by Microsoft's identity platform (Microsoft Entra), which also lets you sign in using a third-party account such as Google. When you sign in that way, that provider confirms your identity and shares your name and email address with us. We store your name, email address, and order history.
• Order information. Your shipping address, phone number, the products you purchase, and order totals.
• Event bookings. If you book on-site cigar service for a private event, we collect your contact details, event and venue information, and the signed event service agreement. Agreements are signed through our e-signature provider, SignWell, under its own privacy policy.
• Age verification. Age verification is performed by our verification provider, AgeChecker.net. Depending on the check, AgeChecker may collect your name, address, date of birth, and (if automatic verification fails) a photo of your government-issued ID. That information is collected and processed by AgeChecker under its own privacy policy; we receive only the result of the check and a verification reference number, never your ID documents.
• Payment information. Payments are processed by Authorize.Net. Your card number is entered on Authorize.Net's secure hosted payment page and never touches our servers; we store only a transaction reference. Your name, contact details, and shipping address are sent to Authorize.Net to process the payment and issue receipts.
• Proof-of-delivery photos. For local deliveries we photograph the handoff at your door, because tobacco products may only be handed to a verified adult. The photo may show your doorway or the area immediately around it. It is stored privately, not published anywhere, and shown only to you and to us. Links to it in email expire, and the copy on your order page is reissued each time you open it, so no lasting public address to the photo exists.
• Chat messages. If you use our live chat, we store the conversation so our team can respond and refer back to it.
• Usage and diagnostics. We use Azure Application Insights to collect page views, performance metrics, and error reports so we can keep the site working well. This is first-party telemetry sent to our own Azure account; we do not use advertising trackers, and we do not sell or share your data for advertising.

Cookies and Local Storage

We do not use advertising or cross-site tracking cookies. The site sets the following:

• ai_user, ai_session: Application Insights cookies used to count visitors and sessions for diagnostics.
• Browser local storage: your shopping cart, applied promo code, age-gate acknowledgment, chat session, and sign-in session are kept in your browser's local storage so the site works between visits. This data stays on your device.

How We Use Information

• To process, verify, ship, and support your orders.
• To verify that you are 21 years of age or older, as required by law.
• To prevent fraud and secure the site.
• To respond to your questions via chat, email, or phone.
• To comply with tax, reporting, and recordkeeping obligations for tobacco sellers.

Who We Share Information With

We never sell your personal information. We share it only with:

• Authorize.Net, to process payments.
• AgeChecker.net, to perform age verification.
• Shipping carriers and EasyPost, our shipping-label provider, to deliver your order.
• SignWell, to sign event service agreements for catering bookings.
• Identity providers you choose (such as Google), to authenticate your sign-in.
• Microsoft Azure, which hosts our site, database, and sign-in infrastructure.
• Government agencies, where required by law. Federal and state laws governing delivery sales of tobacco products (including the PACT Act and state equivalents) require us to report certain sales to state tobacco tax administrators. These reports can include the purchaser's name, address, and the products and quantities purchased.

How Long We Keep Information

We retain order and customer records for as long as federal and state tobacco recordkeeping laws require, and thereafter only as long as needed for accounting and legal purposes. Chat conversations are retained so we can provide support and may be deleted on request where no legal obligation requires keeping them.

Your Choices and Rights

You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it (subject to the retention obligations above) by emailing support@mintchillcigars.com. Depending on your state of residence, you may have additional rights under state privacy law; we honor those requests regardless of whether the law technically applies to us.

Age Requirement

This site is intended solely for adults 21 years of age or older. We do not knowingly collect information from anyone under 21, and we cancel any order that fails age verification.

Security

We use encryption in transit, access controls, and reputable infrastructure providers to protect your information. No method of transmission or storage is completely secure, but we work to protect your data using industry-standard practices.

Changes to This Policy

If we make material changes to this policy, we will update the date at the top of this page. Continued use of the site after changes take effect constitutes acceptance of the updated policy.
